<p> When you assign Tasks to your Users, you want to ensure the workload is spread evenly throughout your Users.  One way of doing so is to use Round Robin assignment.  While Round Robin assignment distributes the Tasks evenly and is simple, it may not consider the difficulty of different Tasks, the ability of your Users to complete those Tasks in the same time or a User’s availability during meetings or vacations.</p>
<p>For example, let’s say Bluespring uses Round Robin assignment for our Sales Representatives to contact existing Customers about a discount opportunity on an upgrade, where the discount expires today.  We assign 10 Tasks to 5 different Sales Reps.  One Representative encounters a Customer who has had difficulties with her existing version and insists the Sales Rep inventory all of her problems, occupying the Representative for several hours.  In the middle of the afternoon, this Representative has 7 remaining Tasks and not enough time in the day to complete them.  So, in order to complete all of the day’s work, a Manager must now reassign the Tasks to other Sales Representatives, making more work for the Manager.</p>
<p>Fortunately, BPM provides us with an alternative to Round Robin assignment: Queues.  A Queue is a group of people who are eligible to work a Task.  Tasks appear in a List and your Employees “take” a Task, work the Task, complete the Task and then return to the List to take the next Task.  When an Employee needs to take extra time to complete a Task, such as in our example above, other Employees will take more Tasks without a Manager needing to reassign the Task.  If an Employee is on vacation or involved in a meeting, you don’t have to update anything: other Employees will continue to work Tasks in the Queue.  When you have a lot of Tasks in a Queue, a Manager can see the additional work load and have more Employees work that Queue.  Queues even help you understand which Employees are more efficient, because you can write reports to see which Employees complete more Tasks or average less time to complete a particular Task.</p>
<p>So, the next time you are thinking of using Round Robin to assign Tasks, think of the advantages of using a Queue!</p>

			<content:encoded><![CDATA[<p>Thanks to all the attendees of the recent Enterprise Growth webinar. We appreciated you taking the time to attend and enjoyed the discussion following the presentation.</p>
<p>During the presentation, Rich and Chris reflected on Bloor Research’s statistic about 60% of companies being held back from investing in innovation. They’re stuck making changes to existing systems and maintaining out of date technology. They then went on to discuss how you can enable the business to make changes in a controlled, governed manner using a business process management tool like Bluespring BPM5.</p>
<p>Rich then discussed a financial services company that uses BPM5 to free up IT time, so IT can focus on innovative projects that deliver more business value. And Chris discussed his experience with an online retailer that is using Bluespring to automate a number of previously manual processes while giving the compliance business group the freedom to manage changes to approvers and rules on their own. Bluespring manages the backend processes using the real-time values provided by the business.</p>

<p>In the end, the customer thanked us for helping them:</p>
<ol>
<li>Validate their assumption about their employees being &#8220;busy&#8221; (employees were running at 80% utilization or greater; which, as a &#8220;rule of thumb,&#8221; is on the high side)<br />
 </li>
<li>Find at least two &#8220;quick wins&#8221; that they were able to implement before we even left!<br />
 </li>
<li>Identify improvement areas that would:
<ul>
<li>Increase throughput by 22%</li>
<li>Reduce transaction cost by 26%</li>
<li>Reduce process time by 27%</li>
</ul>
</li>
</ol>
<p>Basically, the customer is at a point where they either (a) need to hire more people or (b) improve their process via automation, because the customer is growing at about 5% each month—not a bad problem to have! Thankfully, we also found that improvements could decrease a key stakeholder’s time by 61%, so that stakeholder can better handle the increasing demand.</p>
<p>The reduced cost more than pays for the improvement opportunities, which the customer is starting to plan today.</p>
<p>Exciting for us to see a customer grow while improving operations without sacrificing customer service.</p>
